The Novo Nordisk Foundation Center for Biosustainability (DTU Biosustain) is seeking an experienced Academic Management Secretary (AMS) who can assist the Center’s executive management team and facilitate execution of their operational activities.

DTU Biosustain is an international research centre of excellence with several off-campus locations abroad developing next-generation cell factories and bioprocesses for sustainable production of high-value chemical compounds as well as protein-based products.

The job
The AMS is supposed to assist the executive management with administrative tasks and will generally play a key role in further professionalizing decision making processes and management activities of the Center.

Organizationally, the AMS will be associated to a team of managers for the administrative support units of the Center and will be reporting directly to the Chief Operating Officer (COO), but is supposed to assist all members of the executive management. The executive management team consists of 5 people - the CEO, CSO, CTO, CIO and COO whereas several mainly are operating from center locations abroad thus good coordination and communication skills are required to ensure smooth operations. Insight and understanding of the values that matters for the research staff at a Center like DTU Biosustain and the ability to establish close work relationships with the principal investigators of the various research units is considered important for fulfilment of the role as AMS.

DTU Biosustain is subject for a major performance evaluation by the Novo Nordisk Foundation scheduled for 2019, and continued funding of the Center will depend on the outcome of this review. The AMS will in close collaboration with the Management Team play a key role in planning and coordinating the whole process. Furthermore, the AMS will also play a key role in collecting data and provide written inputs to the evaluation report.

The AMS position is a brand new position at the Center and there will be opportunities to influence how the job tasks and responsibilities optimally may develop over time.

Primary areas of responsibility

  • Assistant for the Executive Management (EM)
  • Managing the EM calendar and organize and prepare for EM meetings
  • Prepare material/overviews that can form the basis for knowledge based decisions
  • Secure follow-up on/communication of EM decisions
  • Assist in preparing material for regular reporting to stakeholders and internal management reporting
  • Arrange Steering Committee meetings
Support translational activities
  • Assist CTO in monitoring progress on translational activities
  • Together with CTO organize and prepare for Core management meetings
  • Assisting organizing outreach activities
Support research activities
  • Assist CSO with organize Scientific Directors meetings
  • Provide CSO with advanced reports on scientific outputs from research sections and group leaders
Coordination of Review Process
  • Collection and selection of input and data
  • Drafting text elements and illustrations
  • Liaison to the relevant officers at the Foundation and administrative units DTU
  • Organizing the visit of the evaluation panel
  • Coordinating the review responses
  • Communication internally to the CFB
Our expectations of you
  • Familiar with the scientific field of the CFB equivalent to a relevant MSc level
  • Experienced with working in an university environment and familiar with its values
  • Know-how on collecting, assessing and presenting university/research performance KPIs
  • Flair for operating on a strategical/political level
  • Excellent communication skills – especially in writing
  • Fluent in written and spoken English. Language skills in Danish an advantage but not formally required
  • Personal: Positive and service minded, structured and well-organized - details matters, efficient and robust.

Salary and appointment terms
The current grant from the Novo Nordisk Foundation expires by the end of 2020, but may be extended for 5 year period dependent on the outcome of the evaluation of the Center in 2019. Consequently, the position is time-limited to 31 Dec 2020.

We are aiming at hiring a specialist/chief consultant and will offer a salary level that reflects the candidate’s qualifications and our expectations.

The workplace is at DTU Lyngby Campus in a new building 220 specifically designed to accommodate and meet the needs of the Center.

The appointment will be based on the collective agreement with the Confederation of Professional Associations. The allowance will be agreed with the relevant union.
